Travel Reimbursement Rates

 now shows the updated travel reimbursement rates, which conform to OUS
and UO rates effective November 1, 2002.  Note that the mileage rate
will change again on January 1, 2003.  These rates should be used in all
new and continuation grant budgets.  If your web browser does not
produce the updated page with November 1, 2002 rates, please call ORSA
for technical support at 6-5058 or 6-0720.  
 
 

Ticket Agent Service Fees


 

Ticket agent service fees are usually posted to University funds in the
same month as the ticket expense; however, departmental grant
administrators should be aware of some delays in the posting of the
service fees, which will have an impact on grant balances.

 

The Business Office reports that two of our travel agencies bill the
University for their service charges through the University credit card
at the time they bill the airfare.  

 

The third travel agency bills separately to avoid the credit card fees
since they are discounting their service fee.  As of November 19, 2002,
the University has not received the billing for ticket service fees for
September and October from the third travel agent.  The Business Office
is currently working with the third agency to improve their billing
process.

 

There will also be occasions where the fee information does not match
the ticket information and there may be a one or two month delay in
reconciling the fee with the appropriate ticket.  This of course will
delay posting the fee to the correct fund.  If a grant is due to end and
be closed out, but there are potential travel agent fees not yet billed,
please call ORSA at 6-5131 for guidance on handling these  late-posting
charges on a grant.
